Roles & Responsibilities of WCLL  Board of Directors

Executive Members

President

Presides at league meetings, and assumes full responsibility for the operation of the local league. The president receives all mail, supplies, and other communications from the Little League International. The president must see to it that league personnel are properly briefed on all phases of rules, regulations, and policies of Little League. The league president is the contact between the local organization and Little League International. Provides player, coach, and manager records to Little League International in electronic format.

Vice President(s)

Presides in the absence of the president; works with other directors and committee members; is ex-officio member of all committees and carries out such duties and assignments as may be delegated by the President.

Secretary

Maintains a register of Directors and Coordinators; records the minutes of meetings; is responsible for sending out notice of meetings, and maintains a record of the league's activities.

Treasurer

Signs checks co-signed by another Director or Coordinator; dispenses league funds as approved by the Board of Directors; reports on the status of league funds; keeps local league books and financial records; prepares budgets and assumes the responsibility for all local league finances.

Player Agent(s)

Conducts annual tryouts, and is in charge of player selection, assists president in checking birth records and eligibility of players; serves as a member of the Board of Directors of the local league and generally supervises and coordinates the transfer of players to or from the Minor Leagues according to provisions of the regulations of Little League.

Safety Officer

Coordinates all safety activities; ensures safety in player training; ensures safe playing conditions; coordinates reporting and prevention of injuries; solicits suggestions for making conditions safer; reports suggestions to Little League International through the league president and prepares the ASAP plan for submission to Little League International. Umpire-in-Charge (U.I.C.)

Serves as coordinator of and advises the league President on the league umpire program and responsible for recruiting and retaining volunteer umpires. Establish a league umpire training program consistent with Little League® guidelines. Coordinate and assist with conducting umpire clinics at league and district level. Communicate rule changes to league umpires and schedule league umpires for regular season games. Evaluate league umpires using established guidelines to maintain program integrity, further continual improvement, and prepare league umpires for advancement to tournament levels. Communicate with and provide updates to the District Umpire Consultant on the league umpire program, and attend Umpire Training programs at the District, State, Region, and/or Headquarters level.

Coaching Director

Represents coaches/managers in league; presents a coach/ manager training budget to the board; gains the support and funds necessary to implement a league-wide training program; orders and distributes training materials to players, coaches and managers; coordinates mini-clinics as necessary; serves as the contact person for Little League and its manager-coach education. Receives and distributes coaching information from Little League International and distributes to all coaches and managers.

Volunteer Director

The Volunteer Coordinator recruits volunteers to fill league-level positions and jobs. Communicates with parents on how to track and submit completed volunteer hours. Works with the League Treasurer to process parent participation refunds.

Equipment Manager

Order items needed for the season (e.g., baseballs, scorebooks, etc.); Prepare team equipment bags and distribute at the beginning of season. Arrange for return of equipment at end of season to storage facility; Maintain the quality of the equipment and purchase new equipment as necessary/approved.  Keep the storage facility organized and coordinate access.


League Information Officer

Sets up and manages league’s official website; sets up online registration and ensures the league rosters are uploaded to Little League; assigns online administrative rights to other local volunteers; encourages creation of team web sites to managers, coaches, and parents; ensures that league news and scores are updated online on a regular basis; collects, posts, and distributes important information on league activities including direct dissemination of fundraising and sponsor activities to Little League, the district, the public, league members, and the media; serves as primary contact person for Little League.

Field and Maintenance Director

The Field and Maintenance Director shall coordinate all aspects of WCLL’s facility rental logistics and maintenance needs. This includes working with the City and District on field rentals, field maintenance, coordination of weekly team field maintenance schedules, league equipment upkeep, and any other items required by our facility needs.

Registrar

Create and distribute materials related to league registration for the current season. Compile the vital member information to allow for the formation of divisions and teams. Assure compliance with the boundary guidelines and other registration requirements. Work with the other officers to provide information about the members for distribution to the managers and coaches as required. Once per season, report to Little League International the entire makeup of the league, players, administrators and other volunteers.

Committee Members

Umpire Coordinator

Organize umpire clinics in pre-season through District 4. Ensure umpires are paid. Create an ump schedule for regular and postseason games. Keep on top of makeup games. Communicate with umps and determine general availability and special requests

Division Coordinators

Oversee all aspects of respective divisions. Act as a liaison between division managers and the Vice Presidents of Baseball and Softball. Coordinate with Equipment Manager, Field Manager and Uniform Manager as appropriate to ensure division needs are met.

Sponsors and Ads

Solicits and secures local sponsorships to support league operations; collects and reviews sponsorship opportunities; and maintains records of monies secured through sponsorship

Uniform Coordinator

Responsible for ordering and distributing all uniforms for players and managers, including the regular season, all-stars and other post-season teams to Division Coordinators. Work directly with our uniform provider to get approval from the Executive Board on uniform kits and sizes. 

Photo Day Coordinator

Establish the schedule for having the team pictures taken on a weekend in mid-April, communicating that schedule to the families through email. Be on hand to assist in orchestrating the team pictures and collect forms and fees. You will work with Team Managers to ensure information is dispersed timely.

Opening Day Coordinator

Coordinates all the pieces of Opening Day. Identify special guests (singing of the National Anthem, first pitch, etc.) Updates the announcer's script as necessary. Creates field placement plan for teams. Creates communication messages to the league. Works with the District or City to get access to facilities. Identifies and coordinates with outside groups that will help (e.g., Cub Scouts, singing groups, etc.


Concession Manager

Maintains the operation of concession facilities; organizes  the purchase of concession products; responsible for the management of the concession sales at league events; schedules volunteers to work the concession booth during league events; collects and reviews concession related offers including coupons, discounts, and bulk-purchasing opportunities; and organizes, tallies and keeps records of concession sales and purchases.
